IRS Form 1040, U.S. Individual Income Tax Return, is the core form Americans use to report income, claim deductions and credits, and settle their federal income tax for the year. Almost every other personal tax form, from the W-2 to the numbered schedules, ultimately feeds into it.

What is Form 1040 used for

The 1040 aggregates your income for the year, including wages, interest, dividends, retirement distributions, capital gains, and business income, then subtracts either the standard deduction or itemized deductions to reach taxable income. From there it calculates tax, applies credits, counts withholding and estimated payments, and lands on either a refund or a balance due.

Three numbered schedules extend the form when needed: Schedule 1 for additional income such as unemployment compensation and for adjustments such as student loan interest, Schedule 2 for additional taxes including self-employment tax and the alternative minimum tax, and Schedule 3 for additional credits and payments such as the foreign tax credit and education credits.

Who needs to file Form 1040

Most U.S. citizens and resident aliens whose gross income meets the filing threshold for their filing status and age must file. The thresholds change each year, so check the current figures on irs.gov or in the Form 1040 instructions.

Filing can also pay off when it is not required. Refundable credits such as the earned income tax credit, or a refund of tax that was withheld from your paychecks, are only paid out if you file a return.

How to fill out Form 1040

The form moves top to bottom in a fixed order:

  • Filing status and identity: choose one filing status, then enter your name, SSN, and address, and answer the digital assets question.
  • Dependents: list each dependent with their SSN and relationship, and check the boxes for the child tax credit or credit for other dependents.
  • Income lines: wages from your W-2s, interest and dividends (with Schedule B when required), retirement income, Social Security benefits, capital gains (with Schedule D), and additional income carried from Schedule 1.
  • Deduction: take the standard deduction for your filing status or attach Schedule A to itemize, whichever is larger.
  • Tax and credits: compute tax on taxable income, then apply the child tax credit and amounts from Schedule 3.
  • Payments: federal income tax withheld from W-2s and 1099s, plus estimated payments made with Form 1040-ES.
  • Refund or amount you owe: enter bank details for direct deposit of a refund, or arrange payment for a balance due.
  • Sign and date: both spouses must sign a joint return. If someone prepared it for pay, the preparer section is completed too.

Where to send it and deadlines

The annual filing deadline is typically April 15, shifting to the next business day when it falls on a weekend or holiday; Form 4868 extends the time to file (though not the time to pay). Most returns are filed electronically through IRS e-file options or tax software, which is faster and confirms receipt.

If you mail a paper return, the correct IRS address depends on your state and whether a payment is enclosed. Look up the current mailing address on irs.gov before sending.
