A rent receipt is written proof that a tenant paid rent. It records who paid, how much, for which property and rental period, and by what method, and it is signed by the landlord or agent who received the money. Receipts matter most for cash payments, where there is no bank record, but tenants and landlords benefit from a consistent paper trail regardless of payment method. This Universal PDF template is a simple one-page receipt with checkboxes for the payment method and payment status.

Open the template in the Universal PDF editor, type the tenant name, amount, property address, and rental period into the blanks, check the payment method box, then download the finished PDF to print and sign, keeping a copy for your records.

What is a rent receipt

A rent receipt is a short document a landlord, property manager, or authorized agent gives a tenant to confirm a rent payment was received. A complete receipt identifies the tenant, the amount in words and numerals, the property and unit, the rental period the payment covers, the payment date, and the method of payment, and it carries the signature of the person who received the money.

For the tenant, the receipt is protection against a later claim that rent went unpaid. For the landlord, a numbered series of receipts creates a clean payment ledger that makes accounting, tax preparation, and any future dispute far easier to handle.

When to issue a rent receipt

Issue a receipt every time rent is paid in cash, since cash leaves no independent record. Many landlords issue receipts for every payment as a matter of practice, and some states and cities require landlords to provide receipts on request or automatically for certain payment methods.

Receipts are also the right tool for partial payments. The template includes a payment status section where you can mark the rent as paid in full or record a partial payment with the remaining balance and its due date, which protects both parties' understanding of what is still owed.

What to include on a rent receipt

Each receipt should stand on its own as proof of one payment.

  • A receipt number, so payments can be tracked in sequence.
  • The date the payment was received.
  • The tenant's name and the amount paid, in words and numerals.
  • The property address, including the unit number.
  • The rental period the payment covers, with start and end dates.
  • The payment method: cash, check with its number, money order, electronic transfer, or other.
  • Whether the payment covers the period in full or is partial, and any amount applied to other charges.
  • The signature and printed name of the landlord or agent who received the payment.

How to fill out the rent receipt template

In the Universal PDF editor, assign the next receipt number in your sequence and enter the payment date. Fill in the tenant's name, the amount in words and numerals, the property address, and the rental period the payment covers.

Check one payment method box, adding the check or money order number if applicable, and mark the payment status as full or partial. If part of the payment covers something other than rent, such as a late charge or utilities, note the amount and what it was for. Download the PDF, sign it, give the original to the tenant, and keep a copy in your payment records.

Common mistakes to avoid

Rent receipts are simple documents, but small omissions can undermine them as evidence.

  • Leaving out the rental period, which makes it unclear which month the payment covered.
  • Recording a partial payment as paid in full, or not noting the remaining balance and due date.
  • Skipping receipt numbers or reusing them, which breaks the payment sequence.
  • Forgetting the signature of the person who actually received the money.
  • Not keeping a landlord copy, which leaves the tenant holding the only record.
