What is a general bill of sale

A general bill of sale is a receipt with legal weight. Once both parties sign, it documents that ownership of the described property passed from the seller to the buyer on a stated date for a stated price. If a dispute comes up later, over payment, over who owns the item, or over what condition was promised, the signed document is the record both sides agreed to.

It is the right form for items that are not titled or registered with the state. Cars, motorcycles, and boats have their own bill of sale variants because they involve VINs, hull numbers, titles, and odometer disclosures. For everything else, from a used couch to a workshop full of tools, the general version covers it.

When to use a general bill of sale

Use one any time an item worth documenting changes hands between private parties. Marketplace and classified-ad sales are the most common case: the parties usually do not know each other, and a signed record protects both. It is also useful for sales between friends or family members, where a written record prevents misunderstandings later, and for business asset sales of individual pieces of equipment.

A bill of sale is worth completing even for modest amounts when the item has a serial number, when payment is in cash, or when the item could later be mistaken for stolen property. The buyer gets proof of lawful purchase, and the seller gets proof the item is no longer theirs.

What to include in a general bill of sale
